Leave Benefits Policy

Effective date: July 1,2023

Objective

The objective of this policy is to lay the guidelines for leave eligibility for the Ample team members.

Eligibility

This policy is applicable to all team members across all geographical locations of Ample.

Working Days

Scope: Ample (Corporate) will be closed on all Saturdays and Sundays. This will not be applicable to the Retail, Service and Factory teams.

Retail and Service teams will have 2 days as week-off and follow roster as prescribed by their respective business.

Factory will be closed on all Sundays.

Procedure

  • For the purpose of leave accounts, “year” means the year commencing on the first day of January and ending on the thirty first of December.
  • All leave requests has to be submitted through a leave application form through HRMS to the reporting manager.
  • The leaves have to be approved by the reporting Manager and in their absence the department head.
  • If a team member requires “x” days of leave, then it is necessary for him/her to apply at least “3x’ days in advance.
  • All non – emergency and non – sick leaves, for which forms are not received in advance, would be treated as loss of pay.
  • Exceptional cases such as leave due to sickness or personal exigency must be intimated to the Reporting Manager / Business Head at the earliest possible and not later than 24 hours after commencement of emergency. The HR should also be informed regarding the leave by the respective Manager.
  • On resumption of work, approval for the leave has to be obtained on the Leave Application Form through HRMS.
  • All leaves will be calculated on the basis of working days.
  • Leave has to be applied through HRMS for all leaves availed whether half day or more. It’s the responsibility of the team member to apply leave prior to proceeding on leave/ on availing Leave.
  • In the absence of applying leave through HRMS, HR will mark the day as ‘Leave Without Pay’.
  • Team members serving notice period are not eligible for leave unless there is a personal exigency. In this case the notice period will be extended by the number of days that the team member has availed leave or considered as loss of pay depending on approval from reporting manager.

Entitlement

All on roll full- time team members are entitled for 18 days of annual leave for every year of service with the company.

Annual Leave

  • 1.5 days of AL is credited every month.
  • Team members will be eligible to avail Annual Leave from the Date of joining.
  • Any leave request more than 4 days has to be approved by the Reporting Manager and the Business Head.
  • Maternity, Paternity leaves cannot be carried forward or encashed.
  • Leave Encashment will be done only at the time of full and final settlement on monthly basic salary.

Sick Leave

  • 12 Sick leaves will be pre-credited which can be availed during the respective calendar year.
  • Sick leave will pre-credited on a prorate base effective 1st July 2023.
  • Any leave request for more than 3 days requires a medical certificate from the practitioner and approval from reporting manager.
  • Sick leave can be accrued during the calendar year and cannot be carry forward to subsequent calendar year. No leaves encashment is applicable.

Bereavement leave

  • 03 working days in a calendar year
  • Applicable on the demise of an immediate family members – Spouse, Children, Siblings, Parents / In-Laws.
  • Need to be availed within 15 days from the date of demise of the concerned.

Compensatory Off

  • If a team member has worked on National Holidays, Festival Holidays, Weekly offs, as declared by the organization or a minimum of 8 hours, he / she can then apply for a Compensatory off in lieu of the same. After prior approval from the Manager, the Compensatory off can be availed within Ninety days from the original leave / off day.
  • Unavailed compensatory offs, will be paid out only for Retail Sales, Service, Projects, IT hardware, Cauvery sales and Cauvery technical service team.
  • The Store / Location Incharge/ Factory incharge to provide input to the HR, on or before the 23rd of every month.
  • If he/she has worked for a minimum of 4 hours, he / she can apply for half a day Compensatory off.
  • The leave balance will not reflect the pending Compensatory offs, since they are not to be kept pending for more than ninety days.  Managers and Supervisors to ensure that team members avail their pending Compensatory offs immediately.

Maternity Leave 

  • Maternity Leave is granted to women team members as per the provisions of the Maternity Benefit Act 1961. It is provided with intent to enable expecting mothers to take due care and rest before and after delivery.
  • Every woman team member in ‘Ample’ shall be entitled to Maternity Leave of twenty six weeks provided she has worked in ‘Ample’ for a minimum period of 80 days, in the Company.
  • Team members must apply for this Leave at least eight weeks before the expected date of delivery with an intimation to Reporting Manager and HR. Maternity leave will have to be approved by the respective HOD and HR.
  • Public holidays and Sundays that fall during this period are considered as part of the maternity leave and hence no additional leave or payments will imply.
  • Maternity leave cannot be carried forward or encashed.
  • Maternity Leave is applicable beyond 2 children in a family. The maximum period of maternity benefit that a woman having two or more than two surviving children is entitled to, is twelve weeks of which not more than six weeks shall precede the date of her expected delivery.
  • In case of miscarriage or medical termination of pregnancy, a woman shall, on production of such proof as may be prescribed, be entitled to leave with wages at the rate of maternity benefit, for a period of six weeks immediately following the day of her miscarriage or, as the case may be, her medical termination of pregnancy.
  • Adoption leave is granted to mothers who have adopted a child that is less than 3 months old.

Paternity Leave

  • Paternity Leave is intended to support Fathers in the early stages of a child’s birth.
  • Team member shall be entitled to 5 days. 
  • Applicable beyond 2 children in a family.
  • Applicable from the date of joining.
  • Team members must apply for this leave at least two weeks before the baby is due or within 30 days post childbirth. This has to be approved by the respective reporting manager and HR manager.
  • Paternity Leave cannot be carried forward or encashed.

Menstrual Leave

  • To provide female team members with leave to manage menstrual health needs.
  • Female Team member shall be entitled to 1 day menstrual leave every month, amounting to 12 days per year.
  •  Leave must be availed within the same month, as it cannot be carry forward to next month.
  • No medical certificate required. 

Consultant/ Part Time Team Members

A consultant / part – time team member is entitled for annual paid leave of 12 days in a year.

HR will credit 1 day of leave every month from the date of joining and team members are eligible to avail these leave from the date of joining.

Leave En-cashment

Leave en-cashment is applicable on basic salary. Starting from 3rd year from date of joining, 10 days of leaves would be en-cashed for every 2 years (over and above 40 days).

Maximum 40 Days of leaves would be en-cashed at the time of full and final settlement.

All leave encashment is on basic of the salary.

**Any exception to this policy will need an approval from Head of Business and Head of HR.

*** Exemption

Sr.Manager and above will be eligible for unlimited leaves basis approval from Department and HR head. The leave request has to be submitted through a leave application form through HRMS to the reporting manager.
